Employer Interim PAYE Reconciliation Season Now Open: What Employers Need to Know

The SARS Employer Interim Reconciliation submission period officially opened on 21 September 2026 and closes on 31 October 2026.
Key Filing Dates to be noted
Important Milestone | Date |
Interim Reconciliation Period Opens | 21 September 2026 |
Payroll Period to be Reconciled | 1 March 2026 to 31 August 2026 |
Interim Reconciliation Submission Deadline | 31 October 2026 |
During this period, employers are required to reconcile their payroll declarations for the period 1 March 2026 to 31 August 2026 and submit their EMP501 Employer Reconciliation Declaration via eFiling or e@syFile™ Employer.
Although the filing window extends through October, employers are strongly encouraged not to leave preparations to the last minute. The reconciliation process often requires the review of payroll records, employee information, tax reference numbers, Employment Tax Incentive (ETI) calculations and supporting documentation. Early preparation can significantly reduce the risk of delays, rejected submissions, penalties and unnecessary administrative burdens.
What Employers Should Be Doing Now
With the submission deadline of 31 October 2026 approaching, employers should begin assembling and reviewing:
Employee personal information
Income Tax Reference Numbers
Payroll records and reconciliations
PAYE, UIF and SDL calculations
Employment Tax Incentive records
Tax directives where applicable
Supporting payroll documentation
Let your tax practitioner know as soon as possible if any employee details need to be updated or if there are payroll corrections for the period 1 March to 31 August 2026 where filed on your behalf.
Addressing discrepancies early will allow sufficient time for corrections and help ensure a smooth submission process.
Why This Filing Season Deserves Attention
This year's interim reconciliation period coincides with several enhancements introduced by SARS, including updates to e@syFile™, new payroll source codes, revised validation requirements and improvements to EMP201 and EMP501 processing.
As SARS continues to strengthen its data verification processes, employers can expect greater scrutiny of payroll submissions and employee information. Ensuring data accuracy before submission has become increasingly important to avoid reconciliation exceptions, rejected submissions and additional compliance queries.
For many employers, the interim reconciliation process is not simply an administrative requirement. It is a critical opportunity to identify payroll discrepancies early and ensure records are aligned before the annual reconciliation period.
SARS Encourages Employers to Prepare Early
To ensure a successful submission, employers should begin preparing by:
Confirming that payroll and employee information is accurate and up to date.
Ensuring that all employees have valid Income Tax Reference Numbers.
Downloading and installing the latest version of e@syFile™ Employer.
Reviewing the latest PAYE Employer Reconciliation Business Requirements Specification (BRS).
Submitting accurate declarations on time can help employers avoid penalties, interest and unnecessary administrative work.
Importantly, SARS has also highlighted that employers should not simply submit their EMP501 declarations and assume the process is complete. After submission, employers should review their submission status and PAYE Dashboard to confirm that the reconciliation has been successfully received and processed.
Key Enhancements Introduced by SARS
New Source Codes
Several new source codes have been introduced, including:
3061 – Additional ID Number
3067 – Expired Asylum Seeker Permit Number
3071 – Expired Passport Number
3076 – Expired Passport Country of Issue
3081 – Country of Birth
Employers should ensure that their employee records are reviewed where these fields may apply.
Changes to Field Types and Validations
Enhanced validations have been introduced for various reporting fields, including:
Long Service Awards
Gross non-taxable income
Gross employment income (taxable)
Employment Tax Incentive calculations
IT3(a) reporting requirements
Employee repayment and compensation-related fields
These stricter validations may result in additional exceptions where payroll records have not been reviewed thoroughly.
EMP201 Return Improvements
SARS has introduced a pre-population function whereby a saved EMP201 return that remains unsubmitted for more than 30 days will automatically be refreshed with the latest available information before submission.
EMP501 Reconciliation Enhancements
Several notable improvements have been introduced:
A reconciliation acknowledgement will now be issued when received.
eFiling and e@syFile™ will display updated processing statuses.
Employment Taxes Validation (ETV) functionality can now verify tax directive status.
Employers may be invited to complete a satisfaction survey after submission.
These enhancements provide greater visibility throughout the reconciliation process and allow employers to monitor progress more effectively.
e@syFile™ System Updates
SARS has also implemented:
Revised password requirements aligned with eFiling.
Updated authentication procedures.
Additional employee information fields.
Enhanced reconciliation query functionality.
EMP601 generation capabilities.
A new System Information utility feature.
Important Software Update Notice
Employers using e@syFile™ should note that the update from Version 8.0.1 to Version 8.0.2 requires a full uninstall and reinstall of the software from the eFiling platform.
Employers and payroll administrators should ensure they are using the latest version before commencing their submissions.
